Director of Administrative Services

This position will work with the senior executive team to coordinate core managerial planning and administrative functions for a project in Glassboro, New Jersey. With the primary responsibilities focused on the creation and development of the Gallagher Management Company that will be running a Museum, the Director of Administration Services will focus efforts on five (5) mission critical areas: General Planning, Communications, Human Resources and Finance, Organizational Structure and Staffing, and Operational Planning.

General Planning

  • Work with G&A leadership and counsel to formalize the creation of management company
  • Work with the client to validate assumptions on staffing and structure
  • Work with insurance provider and/or broker to establish appropriate coverages
  • Develop a 30/60/90 Day Plan to launch management company and prepare for the museum opening in Summer 2023

Communications

  • Facilitate communication between the executive team and external partners regarding schedule, deliverables, and updates
  • Work closely with representatives of project partners to ensure coordination of financing and HR support
  • Design and create presentations to communicate to staff, Rowan University and other project stakeholders
  • Provide oversight of organizational and administrative support including HR, IT, and facility services

Human Resources and Finance

  • Establish policies and procedures
  • Establish benefits program, including Obtain proposal and evaluate best options for the various benefit plans
  • Development of payroll system, and payroll processing
  • Accounting program, including AR/AP, PO System, reporting structure
  • Develop complete benefit plan program for new staff at Management Company
  • Work closely with finance and project manager on invoice tracking and payment of requisitions and bills in a timely and organized way
  • Keep organized documentation on behalf of the Project
  • Establishment of reporting procedures, accountability standards, and performance tracking and reviews

Organizational Structure and Staffing

  • Validation of organizational structure
  • Organizational development and staffing, including job descriptions, recruiting, hiring, and onboarding)
  • Development of employee manual, standard operating procedures, and processes

Operational Planning

  • Oversee key leadership team members and focus on mission critical items for opening day
  • Establishment of schedule for successful museum opening

Job Qualifications

The Director of Administrative Services will play a key role bridging the gap between the client and the project team.

  • Bachelor’s Degree or higher
  • 15 years of organizational planning, development, and staffing (job descriptions, recruiting, hiring, on-boarding)
  • Relevant experience in human resources and administration management; minimum of 5 years of management experience
  • Successful track record as a member of senior management team and ability to support coordination among senior management team members
  • Experienced in preparing proposals, bid documents, and management reports
  • Self-motivated, outgoing, and results oriented
  • Proven leadership, management, and organizational skills as well as experience in designing and executing comprehensive administrative and human resources processes and procedures
  • Professionalism and communication skills necessary to be an effective representative of Fossil Park and a liaison with key strategic partners
  • A collegial, collaborative, and accessible leadership style, well suited to manage in a complex, business support system with Fossil Park
  • Demonstrate creativity, energy, and interpersonal skills needed to introduce and champion new ideas within the project and with key strategic partners
