JOB DESCRIPTION
As a Senior Staff Accountant, you will play a vital role in maintaining the financial health of our organization by managing key accounting functions, preparing accurate financial reports, and ensuring compliance with accounting standards and regulations. Reporting to the VP of Finance, you will handle complex accounting tasks, lead and oversee the month-end close process, assist with budgeting and forecasting, and provide critical financial insights to support business decisions. The ideal candidate will combine strong technical accounting skills with an understanding of project-based professional services and a collaborative approach to working with creative and business teams.
Key Responsibilities
Financial Reporting & Accounting Operations
- Prepare and review monthly, quarterly, and annual financial statements in accordance with GAAP
- Manage the month-end and year-end close processes with accuracy and efficiency
- Reconcile balance sheet accounts and prepare account analyses
- Maintain the general ledger and chart of accounts
- Prepare journal entries and ensure proper documentation
- Conduct variance analysis and investigate discrepancies
- Assist in the preparation of financial information for tax filings
- Support external audit processes by preparing requested documentation
Project Accounting & Analysis
- Track financial performance of client projects and maintain project accounting records
- Prepare project profitability analyses and reports
- Work with project managers to review financial status of ongoing projects
- Assist in setting up new projects in the accounting system
- Monitor work-in-progress and recognize revenue according to appropriate methods
- Reconcile project costs and billings
- Identify and resolve discrepancies in project accounting
- Provide financial insights to improve project budgeting and estimating
Accounts Receivable & Collections
- Oversee accounts receivable aging and collections processes
- Review and approve client invoices for accuracy and compliance with contracts
- Monitor client payment terms and follow up on outstanding balances
- Reconcile client accounts and resolve billing discrepancies
- Develop and maintain client billing procedures
- Collaborate with project and account managers on client financial matters
- Prepare accounts receivable reports and cash flow projections
- Identify opportunities to improve cash flow and collections
Budgeting & Financial Planning
- Assist in the development of annual budgets and quarterly forecasts
- Prepare budget-to-actual variance analyses and reports
- Support departmental managers with budget monitoring and financial guidance
- Help develop financial models for business initiatives and special projects
- Contribute to the preparation of cash flow projections
- Assist with financial analyses for strategic planning
- Provide financial data and insights for management decision-making
- Support the development of key performance indicators and financial metrics
Accounting Systems & Controls
- Maintain and improve accounting policies, procedures, and internal controls
- Identify opportunities to enhance accounting processes and workflows
- Assist in the implementation and optimization of accounting software
- Document accounting procedures and create process documentation
- Train staff on accounting procedures and systems
- Ensure compliance with financial regulations and reporting requirements
- Help identify and mitigate financial risks
- Support the development and implementation of financial best practices
Team Leadership & Collaboration
- Provide guidance and mentorship to junior accounting staff
- Review the work of accounting clerks and staff accountants
- Collaborate with other departments to resolve accounting issues
- Communicate financial information clearly to non-financial colleagues
- Serve as a liaison between the accounting team and project managers
- Support cross-functional initiatives requiring financial expertise
- Contribute to a positive team environment through collaboration and knowledge sharing
- Participate in special projects and process improvement initiatives
Qualifications
- 5+ years of progressive accounting experience, with at least 2 years in a senior role
- Experience in professional services, creative services, or project-based businesses preferred
- Background in month-end close processes and financial statement preparation
- Experience with project accounting, time tracking, and billing systems
- History of implementing accounting process improvements
- Experience with accounting software and financial reporting tools
- Background in supporting budgeting and forecasting processes
- Prior experience in a fast-paced, growth-oriented environment a plus
Knowledge & Skills
- Strong knowledge of GAAP and financial reporting requirements
- Bachelor’s degree in Accounting, Finance, or related field required
- CPA certification or in progress preferred
- Additional professional certifications a plus
- Proficiency in accounting software (QuickBooks, Sage, NetSuite, or similar)
- Advanced Excel skills including xlookups, pivot tables, and financial modeling
- Understanding of project accounting and revenue recognition principles
- Knowledge of internal controls and accounting best practices
- Analytical skills with attention to detail and accuracy
- Strong problem-solving abilities and critical thinking
- Excellent written and verbal communication skills
- AI Fluency: Demonstrated ability to leverage modern AI tools to enhance efficiency, problem-solving, and analysis.
